Absence Submissions - PosiEd
The Absence Submission outlines the specifics and process for a student's absence from school. They are typically created by a carer via an online school form and can be regarding a past, current, or future absence.
To make use of the Absence Submission feature effectively, it's important to establish a Kiosk Definition for both Internal and External Absence Submissions within the Educational Institution.
In creating the Kiosk Definition, make sure to select the right function. Choose “PosiEd Absence Submission" for Internal Absence Submission, and "Portal Absence Submission" for External Absence Submission.
The available Absence Reasons for submitting absence will be based on the Kiosk Reasons specified in the Kiosk Definition. Make sure that the Absence Reason you select is one from the Attendance Rules list applicable to this school.
In order for a user to be able to submit an Absence Submission, it is important to ensure that the user currently holds an Employee Role and that the Primary is set to True.
An Absence Submission record is created every time an absence submission is created whether Internal, External, or in the Attendance Management.
Important details are indicated in the absence of submission records.
Absence Reason indicates the selected reason upon creating the absence submission.
Internal Comment indicates any comment or additional information regarding the absence.
School Code is populated by taking the School Code field from Educational Institution.
Educational Institution links to the school Account so that the school's attendance officer can administer it.
Submitted by indicates the person who submitted the absence submission.
Submitted via indicates how the absence is submitted.
Submitted When indicates when the absence is created.
School Code is populated by taking the School Code field from Educational Institution; if the Educational Institution is updated, the School Code will also be updated.
Creating of Absence Submission
The Absence Submission can be executed through the Internal Absence Submission, External Absence Submission, and Attendance Management.
Internal Absence Submission
In the Posi Attendance, you can find the Absence Submission utility bar. By clicking it, you can easily submit an absence request.
Please make sure to fill in the necessary information for the Absence Submission.
Choose the individual for whom the submission is being made and use the search bar to find the name of the staff or student.
For the reporter, search for the name of the person submitting the absence.
Set the Date and specify the schedule of absence.
For the reason of absence of the student and staff, please select from the available options in the drop-down menu. These options are based on the Kiosk Reason specified in the Kiosk Definition.
In the comment box, please leave any details or comments regarding the absence submission.
You can also upload a file in your absence submission record.
Upload a file and click Done.
Check the attachment in the Absence Submission Related tab Files section.
External Absence Submission
The feature enables the carer to send in student absence requests using the Parent Portal site.
Absence Submission in Attendance Management
In the Mark Roll tab in the session, you can create an absence submission. First select the student(s) then click the Create Absence Records button.
The available Absence Reasons for submitting absence will be based on the Kiosk Reasons you specified in the Kiosk Definition. Then click Submit.
