School Camps and Excursions - PosiEd

This section guides you in setting up a School Camp or Excursion.

If you have conditions for attendance such as fee payment, carer and/or school approval, or the event is over multiple days or time periods, you need to create and use a Cohort. However, if you just require calendaring and mark roll facilities for a single time period, you can create a single Session instead.

Setting up School Camp in Cohort Structure

In the Cohort tab, click NEW to create or add a new Cohort.

After clicking, input the necessary information.

In the Cohort Type choose School Camp.

Tick the Cohort Calendar so it can be set up and can be seen in the Carer’s Portal and Student’s Portal Calendar.

Input the necessary information in the Timetable Structure and tick the Timetable Managed Externally.

Please provide all the required information under the 'Requirements' section. Make sure to fill in all the necessary details.

Afterwards, click Save and New.

Adding Contacts in School Camp

Go to Contacts.

You can add contacts manually or through a bulk process.

Before allowing a student to go on an Excursion or attend an event, you can select the necessary options by checking the corresponding boxes. Doing so will prevent the student from being included in the Mark Roll process and/or calendaring until the relevant flags are ticked by the cohort member.

Updating Contacts in Bulk

The Cohort Membership ID has a checkbox next to it that you can select multiple students to update if you would like to update Cohort Members in bulk.

Clicking the Update Object Member allows you to make any changes like ticking the Fees Paid, Parent Approval, and School Approval.

This is what Update Object Member looks like and tick any of the checkboxes that you wish to make updates. After making any changes click Save.

After clicking "Save", a confirmation message will appear to confirm the changes for the number of records you wish to update, then click OK to confirm.

Creating Schedule for School Camp

In creating the schedule for the School Camp, you manually add a new Session.

Go to Schedule and click New to create a new Session.

Input the necessary information needed in creating a new Session. Such as the Session Name, Date, Start time, and End time.

After creating a session it will be added to the Cohort Calendar.
