Managing Access to Confidential Documents - PosiEd
Confidential Documents contain confidential information that must be handled with great care. To ensure the integrity and security of these files, it is essential to implement effective management practices. Access to these documents should be restricted to authorized school staff only, ensuring that those who need the information for their roles can obtain it while protecting the confidentiality of the contents.
Confidential Document Sharing Rules
You can create a public group for users who need access to Confidential Documents. For multi-school setups, create a separate group for each school.
Set up > Public Groups > New > Add Label > Add Users > Save.
Grant Read/Write access to the Confidential Document sharing rules in the sharing settings.
Sharing Settings > Confidential Document Sharing Rules > Click New
Select Based on Criteria as the rule type and add the rule.
a. Field = School Code
b. Operator = contains
c. Value = School’s School Code
Select the group that you created to share with.
Set Read/Write as the Access Level.
Click Save.
The users added to the group now have permission to access the confidential document. See Confidential Documents for the details.
